How do I submit a project request?

OTECH Marketing uses FreshService for project requests – the same ticket system used by Facilities, I.T. and Data and Workflow. This makes it easy for you to get your project to Marketing!

To access FreshService and place a Marketing ticket for your project, click on the button called “FreshService Tickets” on the Employee Resources page.

What happens after I submit a project request (Marketing ticket)?

You will get an email confirmation from a Marketing team member within 24 hours. The email confirmation often includes questions related to your project, please answer them promptly to ensure your project can be started without delay!

The team member assigned to your project will communicate with you through FreshService, providing status updates and other details until your project is completed.

How do I know if I can create my own design or if I need to go through Marketing?

Flyers You Can Create
For program-specific events meant for audiences within the college, such as students or employees, you can create your own flyer (i.e. student events, policies, announcements, social media posts).

You can use Adobe Express, a college-approved online app similar to Canva, to browse plug-and-go templates. Log in with your OTECH credentials.

Use the Creating Guidelines and Writing Style Guide (located on the Employee Portal) to ensure your design meets college branding standards.

When you’ve finished your design, you must get approval from your director before publishing or printing. If you want a professional design, submit a FreshService Marketing ticket. Note: this will be at your department’s expense.

New Designs and Materials or Updates to Current Materials
For materials meant to advertise and market your program, service, or event to the general public (outside the college), submit a FreshService Marketing ticket! These materials need to be created by OTECH Marketing.

*Please allow for a two-week turnaround!

I created my own design and am ready to share it. What do I do next?

When your design is finished, you need to get approval from your director before printing or publishing it. After you have approval to move forward with your design, you can submit a FreshService Marketing ticket to:

  • Have your design posted on the college’s social media account
  • Have your design posted on the TVs around campus
  • Have your design posted to otech.edu’s event calendar

If you would like to print your design as an 8.5×11 or 11×17 flyer, submit a PR to the College Store indicating the quantity you need. 11×17 flyers can be placed in the sign holders around campus on your own!

How do I request a social media post?

You can submit a FreshService Marketing ticket to request a social media post be made for a student success story or to highlight your program.

You can also submit a FreshService Marketing ticket to ask for help with creating a social media post for your account.

Where can I get college photos or videos to use in my design, presentations, or social media posts?

These resources are located on the Employee Portal. Log in with your OTECH credentials to browse and download media.
